JOB SUMMARY The Executive Assistant provides high-level administrative support to the CEO and other members of the C-suite.  The Assistant is the primary point-of contact for the Executive team and outside contacts. This role is one of exceptional professionalism, discretion, tact, customer service, diligence, and organization.  The Executive Assistant works on various projects utilizing MS Office (Word, Excel, PowerPoint, Outlook) that require intermediate to advance computer skills and extreme attention to detail.  The Executive Assistant is the primary liaison with property management, facilities, and a variety of other vendors.  This role may supervise other administrative staff and/or clerical personnel. ESSENTIAL JOB DUTIES Primary point-of-contact and host for Senior Staff, Board of Directors, and guests of the C-Suite ensuring safety protocols are followed and needs are met. Calendaring, travel, and coordination support for the CEO and other executives as requested, with the ability to help streamline efforts and ensure executive(s) are well prepared for the day. Various complex administrative projects that require accuracy and organization, in addition to computer skills and the ability to prioritize work. Detailed and potentially complicated scheduling of both on and offsite meetings with internal and external individuals, ensuring all details and preparation is taken care of. Attendance of meetings for minutes may be required. Oversight of office administrative tasks including, but not limited to office supply management and purchasing. Management of NDA’s and other company contracts, as needed. Processing expense reports as required. May be required to travel up to 5%. of the time. EDUCATION/EXPERIENCE/SKILLS Typically requires a minimum of 8 years of related experience and a Bachelor's degree in a related discipline, or at least 6 years of experience and a Masters degree, or equivalent combination of education and experience. Demonstrated intermediate to advance skills in MS Office Suite (Word, Excel, PowerPoint, Outlook) and successful experience utilizing the programs in a related manner. Past experience working as an executive level assistant to a busy executive in addition to supporting a department and/or small office. Experience acting as a liaison for a variety of vendors, ensuring strong communication and diligence, as well as accuracy in results achieved. Successful track record of working on various projects of diverse scope with discretion, while achieving successful results. Must be comfortable communicating and working with a variety of individuals at all levels, both within and outside the Company, with tact and exceptional professionalism. Experience leading and/or supervising others is desired. Must have the ability to work overtime hours (evenings, early mornings, and weekends) when necessary for time-sensitive needs of the CEO.
